Booking Policy :

A)     A)Booking Reconfirmation Procedure
1) Confirmation: After successfully processing the booking, a confirmation with a booking confirmation will be sent to you.
2) Re-Confirmation: All bookings has to be re-confirmed with us minimum 07 days prior to the date of arrival along with confirm arrival details, failure in doing the same we will considered as cancellation and in such cases the advance deposit (B1) will be retained as processing fee.

B) Payment Terms:
1) Initial Deposit: Any confirmation is subject to an advance deposit of 50% of the total amount has to be paid immediately after we process the booking. Remaining balance i.e. 50% need to pay before 7 days from the trip start, Out of Which 10% will be non-refundable.
2) Payment Modes: Payment can be remitted through Bank transfer either by NEFT/RTGS  or Cheque (subject to realization)

C) Amendments
1) Amendment is subject to availability of related hotels / services and can only before the reconfirmation (07 days prior to the date of arrival), Amendments cannot be made within 7 days of the date of travel.
2) Amendment in Date: Travel date can be rescheduled maximum up to 45 days from the initial date of arrival and rates or price confirmed is subject to change as it's based on the prevailing rates and might increase due to currency fluctuation increase in the cost of fuel charges, change in any related tax structure, sudden change in hotels tariff or increase in transport cost. Any amendment beyond 45 days will be considered as cancelled and the advance deposit will be retained as per our policy.
3) Amendment in Pax: In case of reduction in the number of passengers, the cost will be increased as per our tariff and the supplement for the same has to be added along with the final payment. In such cases, please note that the advance deposit for the passengers not travelling cannot be adjusted or redeemed

Cencellation Policy

               1) If cancelled after booking 10% of the total package amount will be deducted (within 1st 20 days from the booking days) 
2) If cancelled from 120 days to 90 days before the trip date 20% of the total package amount will be deducted
3) If cancelled from 90 days to 45 days before the trip date 30% of the total package amount will be deducted
4) If cancelled from 45 days to 30 days before the trip date 35% of the total package amount will be deducted
5) If cancelled from 30 days to 15 days before the trip date 40% of the total package amount will be deducted
6) If cancelled from 15 days to 7 days before the trip date 70% of the total package amount will be deducted
7) if cancelled Within 7 days before the trip date deducted amount is not predictable now
8) Matters relating to Cancellation should be informed through E-mail
9) We consider that you have gone through all the above mentioned details & agreed to travel with us.
Cancellation Refund will be processed within 15 days from the date of cancellation and will be refund to you only by online mode. If online mode does not work then cancellation amount will be sent to you by A/c Payee at par cheque.
The above booking and cancellation policy is applicable in Assam and Meghalaya only. For other states-cancellation within 30 days will attract the full charge in the peak season.

Arbitration/ Dispute Settlement
For any dispute subject to the jurisdiction of Jorhat, Assam Only

Hotel Policy :

1.We have selected, combined & graded the hotels in a manner, so that you get similar standard of services & facilities at every destination / place of retirement.
2.  For Extra Person Sharing the Room & Child with Extra Bed, almost all the hotel of our area provides MATTRESS and ROLLOVERS as a supplement to Extra Bed.
3. Most of the hotels in Hills do not have lift, so you have to climb stairs to reach their rooms. Incase anyone has problems with blood pressure, breathing, knee & heart or if someone cannot climb the higher floors, we will request you to report this problem immediately so that we are careful in assigning Hotels which will be more convenient than the ones quoted/reserved.
4. In a hilly area scarcity of water & electricity is a natural phenomenon. Kindly use water and electricity CAREFULLY.
5. Hotel in Deluxe & Standard Category provides room heater on request & on extra payment.
6. Rooms with AC will not be avilable at budget & standard category hotels in hilly states. Some times it will be available only in star category hotels.
7. It is mandatory for guests to present valid photo identification at the time of check-in. According to government regulations, a valid Photo ID has to be carried by every person above the age of 18 staying at the hotel. The identification proofs accepted are Aadhar Card, Driving License, Voter ID Card, and Passport. Without Original copy of valid ID the guest will not be allowed to check-in. 
PAN card is not accepted as a valid ID card.
8. Breakfast can be ordered from the complementary breakfast menu card and will be served in the room from 8 AM to 9 AM. No discount/deduction is applicable if you skip the Breakfast.
9. Stay of 1 child up to 5 years of age is complementary without the use of extra mattress. Breakfast charges may be applicable for the child.
10. The primary guest must be at least 18 years of age to be able to check into the hotel.
11. Early checkin (before 11:00 AM) is subject to availability and is done on a chargeable basis. Late checkout (after 01:00 PM) is subject to availability and is done on a chargeable basis.
12. Pets are not allowed in the hotel premises.
13. Should any action by a guest be deemed inappropriate by the hotel, or if any inappropriate behaviour is brought to the attention of the hotel, the hotel reserves the right, after the allegations have been investigated, to take action against the guest.
14. Certain destinations may have different policies for specific times during the year.
15. Guests shall be liable for any damage, except normal wear and tear to Hotel asset. Guest shall keep the Hotel room in a good condition and maintain hygiene and cleanliness.

Kindly note that names of hotels mentioned above only indicate that our rates have been based on usage of these hotels and it is not to be construed that accommodation is confirmed at these hotels until and unless we convey such confirmation to you. In the event of any of the above mentioned hotels not becoming available we shall book alternate accommodation at a similar or next best available hotel and shall pass on the difference of rates (supplement / reduction whatever applicable) to you. Also please note that the check-in & check-out time in all the hotels are by 12 noon.. Early check-in or late check-out is subject to availability.

Child Policy :

             1. Children above 7 years will be charged as per Adult Rate. 
2. Children between 1yrs to 6yrs, sharing parent’s room will be charged as per the child policy of the Hotel. 
3. Children below 5 years are complimentary. 
Please carry the age proof so that it can be produced when asked by the hotel.

Vehicle Policy :

1)The vehicle used will not be at disposal and will be exclusively used for the group as per the itinerary only (on point to point basis). 
2) Vehicle with AC will depend upon availability/ Usage of AC as per weather.
3) Your luggage is your own responsibility. Take care of your baggage during the Tour.
4) Overhead carrier is not allowed in tourist vehicle as per Supreme Court order.

General Policy :

1) At Hotel Check-in time is 14.00 hrs. & / Check-out time 12.00 Noon. Early check in and late checkout subject to availability.
2) Vehicle with AC will depend upon availability/ Usage of AC as per weather.
3) The above rates are subject to change without any prior notice.
4) Tour may be cancelled or timing may be changed depending on weather condition & other operational reasons beyond our control.
5) If the tour duration is extended due to weather condition & other operational reasons beyond our control, then, the extra amount/ charges/ expenses should be paid by the guest on the spot / during the tour. 
6) Jeep safari & Elephant safari at Kaziranga National Park depends on weather condition / as per Govt. norms.
7) As of now we are not holding any booking with any hotel. We are also not holding any airfare. The above mentioned rate is just a quote. Hence it is subject to availability and liable to change at the time of confirmation.
8) Govt. Service Tax of 5% extra (ignore if mentioned in Inclusions part).

8. The Agreement will be governed by Indian law. The Indian courts based in Jorhat, Assam will have exclusive jurisdiction over any disputes arising under this agreement.

9. Assam Tours and Travels reserves the right to add to or change the terms of this Agreement.
